Facilities & Other Campus Support Services

Buildings (and, in some cases, sections of buildings) may officially reopen upon advance notice from departmental heads and managers through a Facilities Service Request (FSR). Please provide at least two months notice so Facilities Management can arrange for full custodial support. If you are planning any space modifications, please submit the FSR as soon as possible as demand and supply chain issues may take more time than usual. For information regarding building ventilation, see the Air Circulation and Purification section below.

Employees and students returning to campus will notice that service models have changed for many departments to reduce the risk of virus transmission. Some services that were previously available in-person are now primarily or exclusively available online. Even if access to services is a little different, nearly all support services available before the pandemic are still available.

The CDC has recently updated their recommendations with regard to the likelihood of contracting the virus from surfaces, which is considered a lower risk than earlier believed. Consistent with the updated guidance, Facilities Management will clean high-traffic areas, common spaces and general assignment classrooms daily. Departments may wish to clean more frequently (or disinfect, in addition to cleaning) in shared spaces if certain conditions apply that could increase the risk of infection from surface transmission of the virus. Examples of such conditions include high transmission of COVID-19 in a community, low use of face masks, infrequent hand hygiene, or use of the space by people at increased risk for severe illness from COVID-19. Departments are also encouraged to clean areas where interactions with members of the Bruin community or visitors occur periodically throughout the day. If a space has been occupied by an individual who tests positive for COVID-19, the department must contact Facilities Management to initiate a more stringent disinfection process.

Departments may order general-purpose sanitizing kits from Facilities Management with an FSR to avoid individual reimbursements. Environmental Health & Safety can advise on specialty cleaning supplies that are certified to kill the COVID-19 virus when following specific use guidelines.

Campus building heating, ventilating and air conditioning (HVAC) systems have been assessed based on the CDPH, CDC, Cal/OSHA and ASHRAE ventilation standards. HVAC system improvements have been made where needed and possible. Portable high efficiency particulate absorbing (HEPA) air purifiers or other mitigation measures will be implemented when the ventilation standards cannot be met. With a few exceptions, buildings are cleared for occupants consistent with the phased-in maximum occupancy guidance noted in this guide’s Safety and Protocols section. Some buildings are included in an “exception list,” with specific occupancy guidance as a result of their ventilation system design.

Most campus food service locations are still closed but will slowly reopen over the summer and are expected to be fully operational by fall. Consider bringing snacks or lunch when working on campus and eat outside or at your workstation whenever possible or permissible. Remember to maintain physical distancing between you and others when eating indoors.

UCLA is continuing to improve outdoor spaces to allow for more flexible and varied use. Employees – especially those occupying shared spaces – are encouraged to seek outdoor areas for short walking and eating breaks. This is a wonderful time for those returning to campus to rediscover their favorite natural spaces and enjoy the many species of birds, plants and insects that call our campus home.
