Ramp-Up Checklist for Supervisors, Managers, and Administrators


FlexWorking Encouraged

1. Identify FlexWorking Opportunities

FlexWork describes work arrangements that differ from traditional 8-hour, on-site workdays, five days per week. FlexWork arrangements are encouraged wherever possible and practical, and when consistent with job duties and operational needs. More information can be found in the UCLA FlexWork Guide for Managers.


Reduce Employee Density

2. Reduce Employee Density

Depending on departmental needs, 25-50% of the typical employee population for office spaces is a reasonable target from July 1 to August 30. From September 1 to December 31, an anticipated range increase to 50-75% may be reasonable, while some may require return to 100% of regular occupancy. 


Office Furniture

3. Provide Office Equipment 

For employees working remotely three or more days each week on average departments are responsible for providing a computer, laptop or tablet for use while working remotely. In addition, these employees are eligible for an ergonomic furniture allowance to procure appropriate home office furniture, like a height adjustable desk and chair.

4. Communicate Expectations for Face Masks and Physical Distancing

As of Saturday, July 17 at 11:59 p.m., a new Los Angeles County Department of Public Health order requires everyone — regardless of vaccination status — to wear a face mask when in all public indoor settings and businesses. This means that all individuals, whether fully vaccinated or not, will be required to wear face masks in all public indoor spaces. Employers must provide and enforce face coverings for employees not fully vaccinated indoors or in vehicles. Employers will be required to provide N-95 masks to unvaccinated employees upon request. Physical distancing is no longer required.

5. Identify Necessary Changes to Office Setup

In some cases, clear barriers may be appropriate when visitors to a workspace communicate with employees. In other cases, private cubicles that are not used every day may be converted into flexible workspaces assigned on a day-to-day basis or into communal workspaces to encourage collaboration.


Vaccine Shot

6. Know Vaccination and Testing Requirements

The University of California requires members of the UCLA community to be vaccinated or obtain an approved exemption as a condition of working, learning or living on campus. Students, faculty, and staff with approved vaccine exemptions will need to participate in weekly testing through the fall term.



7. Request a Ventilation Evaluation if Necessary

Facilities Management has compiled a list of campus buildings that have occupancy restrictions based on ventilation and may be eligible for supplementary air filtration equipment. The status of your building can be checked using a new interactive tool.

Be a Green Commuter

8. Support Green Commuting

Commuting by public transit is encouraged as all transit agencies in Southern California are following CDC guidance on sanitizing, ventilation and passenger density. Be sure that employees review their commuting options at the UCLA Transportation website and purchase any transit passes or parking permits online.

9. Take Care of One Another and Be Flexible

Remember to be empathetic and practice True Bruin values when engaging with one another about compliance protocols. Kindness helps to promote good community behavior. Recommendations from public health officials are changing often and quickly. This website will be updated as decisions are made or new information is available.


Filling Out Form

10. Submit Your Ramp-Up Form

Complete the Departmental/Unit Ramp-Up Form at least six weeks before your employees are expected to return to campus. The information you include in this form can help you create your own Ramp-Up Plan, which should be shared with the employees in your department/unit. Please review the Ramp-Up Form Checklist to make sure you have all the information and documents necessary to fill out the form.
